Sage 300 CRE Connector

Overview

The eSUB Sage 300 Connector performs the following functions:

  • Import project costs to-date (From the Sage 300 project) to eSUB Cost to Complete report
  • Import cost codes (From the Sage 300 project) to the eSUB Display/Hide cost codes page
  • Import project cost estimates (From the Sage 300 project) to eSUB Add Job Cost Estimates page
  • Note: Records cannot be pushed from eSUB to the Sage 300 (Sage Timberline) system

Link eSUB project to Sage 300 project

The Sage 300 project list in eSUB syncs once every 24 hours. Once the eSUB and Sage 300 projects are linked, Estimate and Cost Code assignment syncing should occur within two minutes.

A user level of Project Manager or higher is required.

Link new project

  1. Go to Navigate > Add Project
  2. Fill in the required (red) fields as desired
  3. In the Link Sage 300 Project field, select the desired Sage 300 project
  4. Select Save Data when finished

Link existing project

From the Select Project page:

  1. Select the Edit (pencil) icon on the project
  2. In the Link Sage 300 Project field, select the desired Sage 300 project
  3. Select Save Data when finished

Import cost codes to project

Once the eSUB and Sage 300 projects are linked, syncing should occur automatically within two minutes.

  • Once linked, the connector will compare the Sage 300 cost codes to the eSUB cost codes (code, description, and cost type) and add (create) any cost codes necessary for the eSUB project.
  • Cost codes are displayed on the eSUB project based on the job cost estimates for the linked Sage 300 project.

View project cost codes

A user level of Project Manager or higher is required.

Select the project, then:

  1. Go to Project > Configure
  2. Select Display/Hide Cost Codes

Import project cost estimates

Once the eSUB and Sage 300 projects are linked, syncing should occur automatically within two minutes.

  • Once linked, the connector will compare the Sage 300 cost codes to the eSUB cost codes (code, description, and cost type(s)) and add (create) any cost codes necessary for the eSUB project.
  • Cost codes are displayed on the eSUB project based on the job cost estimates for the linked Sage 300 project.

View project cost estimates

A user level of Project Manager or higher is required.

Select the project, then:

  1. Go to Project > Configure
  2. Select Add Job Cost Estimates
  3. (Optional) Select Update Estimates from Sage 300 to manually update job cost estimates

Import project costs to-date

Once the eSUB and Sage 300 projects are linked, syncing should occur automatically within two minutes.

The Cost to Complete report will update automatically once every 24 hours.

View project costs to-date in eSUB (Cost to Complete report)

A user level of Project Manager or higher is required.

Select the project, then:

  1. Go to Reports > Cost to Complete
  2. (Optional) Select either eSUB or Sage 300 from the Source field to alternate the data source

Troubleshooting

Problem: Sage project not appearing in the Link Sage 300 Project field

Resolution:

Note that the project list automatically syncs once every 24 hours, and will only sync with Sage projects that are either "In progress" or "Unstarted" status. If you need to update the Job list before the scheduled sync, use the Force Sync option.

A user level of Executive Administrator is required.

  1. Go to Navigate > Administration > Company Setup > Company Preferences > Accounting
  2. Select Force Update

NOTE: This process may take several minutes to complete.

Problem: Project costs to-date not updating
Resolution:

Try the following steps until the issue is resolved:

Select Sage 300 from the Source field when viewing Cost to Complete

Select the project, then:

  1. Go to Reports > Cost to Complete
  2. Select SAGE 300 in the Source field  

Enable JTD Costs Sync

A user level of Executive Administrator is required.

  1. Go to Navigate > Administration > Company Setup > Company Preferences > Accounting
  2. Select the Enable JTD Costs Sync check-box 
  3. Select Save Data

Force Update

A user level of Executive Administrator is required.

  1. Go to Navigate > Administration > Company Setup > Company Preferences > Accounting
  2. Select Force Update

NOTE: This process may take several minutes to complete.
