eSUB Time Kiosk

Overview

eSUB Time Kiosk is an app for iOS and Android devices that allows field workers to clock in and out using a unique PIN on a shared smart phone or tablet.

Log in or out

Set up master user

In order for a foreman to log into Time Kiosk as the master user, the following requirements must be met:

  • Time enabled user
  • User level of Field User I or higher

The foreman is considered the master user for the current login session. The master user password is required in order to log out of the app or to change an employee’s PIN.

Log in

After launching the eSUB Time Kiosk mobile application:

  1. Tap Email and enter the user’s login email address
  2. Tap Password and enter the user’s password
  3. Tap Sign In

Log out

  1. Tap the Menu (3 dots) icon
  2. Tap Log Out
  3. Enter the master password
  4. Confirm logout

Set up project filter

By default, the employee list on Kiosk represents all active employees in the database, regardless of project assignment. To filter the employee list based on a specific project, use the project filter option.

  1. Tap Apply project filter
  2. Tap the desired project
    • (Optional) Tap the X icon next to the project filter to clear the filter

Create or change user PIN

Create PIN

The first time an employee attempts to punch in or out on Kiosk, they will be prompted to set up their PIN.

  1. Tap the employee name
  2. Enter the desired 4 digit PIN
  3. Re-enter the same 4 digit PIN to confirm

Change PIN

  1. Tap the employee name
  2. Tap RESET PIN

  3. Enter the master password and tap OK
  4. Enter the desired 4 digit PIN
  5. Re-enter the same 4 digit PIN to confirm

Punch in or out

Punch In

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap the Select Project button and choose the desired project
  4. (If applicable) Tap the Select System and Select Phase buttons, and tap the desired system and phase
  5. Tap the desired cost code
    • (Optional) Tap the project name to switch projects before punching in
    • (Optional) Tap the system and/or phase name to switch either one before punching in
    • (Optional) Tap the cost code name to switch the cost code before punching in
  6. Tap the Punch In button
  7. Tap Done when finished

Punch Out

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap Punch Out
  4. Tap either Yes or No on the “Have you been injured?” Message pop-up
      • (If Yes is selected) Enter a note about the injury and tap Enter
  5. Tap Done when finished

Record a break period

A break period in eSUB Kiosk is considered unpaid time and does not count towards an employee's total work hours for the day.

NOTE: A user that is in a current break period must resume the break before being able to punch out.

To start a break period

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap the Break button
    • The break timer will begin counting
  4. Tap Done when finished

To end a break period

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap Resume from Break
  4. Tap Done when finished

Switch project or cost code

After punching in:

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap Switch
    • (Optional) Tap the current project name and choose the desired project
    • (Optional) Tap the current cost code and choose the desired cost code
    • (Optional) Tap Add Comment to add a comment to the timecard
  4. Tap Confirm Switch
  5. Tap Done when finished

Add a comment to a time record

Comments are associated to a specific time record for a given day.

Add a comment to the current punch in/out period

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. (If applicable) Tap the Punch In button from the bottom navigation bar in order to get to the Punch in/out screen
  4. Tap the Comment button
  5. Enter the comment
  6. Tap Post to apply the comment
  7. Tap the X icon to return to the previous screen
  8. Tap Done when finished

Add a comment to a pre-existing time record

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap the Timesheets button from the bottom navigation bar in order to get to the Timesheets screen
  4. Tap the desired work week to see the associated timecard entries

    • A weekly timesheet will appear
  5. Tap the desired time record to expand the details for that day
  6. Tap the time record that the comment is being applied to
  7. Tap the Add Comment button
  8. Enter the comment
  9. Tap Post to apply the comment
  10. Tap the X icon to return to the previous screen
  11. Tap Done when finished

Manually enter time

This option is only available if an administrator has enabled the Allow Time Only Users to Edit Time setting.

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap the Plus icon
  4. Tap one of the following and follow the steps in the appropriate section below:
    • Hours Worked
    • Time in/out
    • Indirect Cost

Hours worked

  1. Tap the Hours Worked button
  2. Tap the Select Project button and choose the desired project
  3. (If applicable) Tap the Select System and Select Phase buttons, and tap the desired system and phase
  4. Tap the Select Cost Code button and choose the desired cost code
  5. Tap either the Standard Time, Over Time, or Double Time field
  6. Enter the total number of hours
  7. Tap Add
  8. Tap Save
  9. Tap Done when finished

Time in/out

  1. Tap the Time in/out button
  2. Tap the Select Project button and choose the desired project
  3. (If applicable) Tap the Select System and Select Phase buttons, and tap the desired system and phase
  4. Tap the Select Cost Code button and choose the desired cost code
  5. Tap the Punch In button
    • Choose the desired punch in time and tap Done
  6. Tap the Punch Out button
    • Choose the desired punch out time and tap Done
  7. (Optional) Tap the Add Break button
  8. (Optional) Choose the desired Break Start and Break End times and tap Done when finished
  9. Tap Save
  10. Tap Done when finished

Indirect (overhead) cost

  1. Tap the Indirect Cost button
  2. Tap the Select Indirect Cost button and choose the desired overhead cost code
  3. Tap either the Standard Time, Over Time, or Double Time field
  4. Enter the total number of hours
  5. Tap Add
  6. Tap Save
  7. Tap Done when finished

View and manage (edit) timesheets

View timesheet

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap the Timesheets button from the bottom navigation bar in order to get to the Timesheets screen
  4. (Optional) Tap the Calendar icon to jump to a specific week
  5. Observe the following status indicators on each timesheet:
    • Orange – Pending
    • Green – Approved
    • Red – Rejected
    • Blue –Signed and/or Exported
  6. Tap the desired work week to see the associated timecard entries
    • A weekly timesheet will appear
  7. Tap the desired time record to expand the details for that day

Manage (edit) timesheet

This option is only available if an administrator has enabled the Allow Time Only Users to Edit Time setting.

After following the steps in the View timesheet section:

  1. Tap the Pencil icon
  2. Edit the information as needed
  3. Add comments as needed
  4. Tap Save when finished

Sign timesheet

A timesheet must be approved by an administrator before it can be signed.

After following the steps in the View timesheet section:

  1. Tap the Sign button on the desired timesheet
  2. Tap the I took my breaks and My timesheet is true and correct boxes
  3. Tap Sign
    • The timesheet now displays a status of Signed

View notifications

  1. Tap the employee name
  2. Enter the 4 digit PIN
  3. Tap Notifications from the bottom navigation bar
  4. (Optional) Tap on the notification to view the associated timecard
  5. Tap the X icon to return to the previous screen

Offline mode

All features of the eSUB Kiosk mobile app will be available in the absence of an internet connection. Any information entered while offline will sync to eSUB Time once internet connectivity is re-established.
