Project Files and Folders

Overview

eSUB file folders are folders that appear within each project. Various file types may be uploaded into the project’s file folders for viewing and attaching to eSUB documents. All files uploaded into the file folders are hosted “in the cloud” and available from virtually anywhere, on any device*. There is no limit to the number or size of files that may be uploaded.

The following file types are not supported:

  • Executables
  • Webpages
  • Scripts
  • Proprietary software files

There are two categories of folders:

  • All Projects – Contains folders which are accessible from any project. Useful for documents/files that remain the same from project to project, or need to be accessible to users of eSUB regardless of which project is being worked on.
  • This Project Only – Contains folders which are accessible only from the project the user selects. Ideal for documents/files that only pertain to that specific project.

Upload files to a folder

Select the project, then:

  1. Go to Files > All Projects or This Project Only
  2. Select Upload File
  3. Select Choose files

  4. Locate and select the desired file
  5. Select Open

  6. Select Upload

  7. Choose the desired folder from the Folder drop-down menu
  8. Enter a description for the file
  9. Select Finish

View or download folder contents

Via web browser

NOTE: Files over 10mb cannot be previewed in eSUB Web and must be downloaded in order to view

Select the project, then:

  1. Go to Files > All Projects or This Project Only
  2. (Optional) Enter a keyword in the Keyword field or select the folder to view from the Folder drop-down menu and select Search

3. Select the View (magnifying glass) icon on the file

4. Select the Close (X) icon to close the file preview

3. Select the Download (arrow) icon on the file

4. Follow steps based on the file type:

  • Image: Right-click the image and select Save Image As
  • PDF: Select the Download icon
  • Excel: Select Save File, then OK

Select the project, then:

  1. Tap Project Files
  2. Tap on the desired folder
  3. Tap on the file you wish to view
  4. (Optional) Tap the Download (arrow) icon to download the file

Attach a file from a folder to an eSUB document

Select the project, then:

  1. Go to Logs > Choose the desired document type
  2. Select the Attach (paperclip) icon on the document

  3. Select eSUB File

  4. Select either This Project or All Projects to view the folders within that section
  5. Select the desired folder
  6. Select the check-box next to the file(s) to be attached
  7. Select Attach

Edit, relocate or delete a file within a folder

Select the project, then:

  1. Go to Files > All Projects or This Project Only
Edit and/or relocate a file Delete a file

2. Select the Edit (pencil) icon on the file

3. Select the desired folder from the Upload Category drop-down menu

4. Enter the file description in the Upload Description field

5. Select Save Data

2. Select the Delete (X) icon on the file

3. Select OK on the pop up message

Create new folder

  1. Go to Navigate > Administration > Company Setup > Edit Folders

  2. Enter the new folder’s name in the Folder field
  3. Select Save Data

Edit the name of an existing folder

NOTE: Editing the Letterhead or Logo folders is not recommended and may produce unexpected results
  1. Go to Navigate > Administration > Company Setup > Edit Folders

  2. Select the Edit (pencil) icon next to the folder

  3. Enter the desired folder name in the Folder field
  4. Select Save Data

Restrict access to a folder

  1. Go to Navigate > Administration > Company Setup > Edit Folders

  2. Select the Lock (padlock) icon next to the folder

  3. Select the check-box next to the user level to grant access
  4. Select Save Data
