Adding Projects and Contacts

This video is on how to add projects.  It reviews how to add a project, how to Configure Project, Project Setup, and Add Contacts.  It includes bid projects, weather and location information, default project address, milestones, project defaults, contract amounts, adding labor and material estimates, entering as planned hours, display/hide codes, changing status, assign project members, and adding reminders.

 

 

Add Project:

Copy From

Copies the city and state from projects marked as "Template Project"

Project Status

Select the status the project is currently in.

Project No

Enter a number by which you identify the Project.

Training Project

Check this box if the Project is to be considered strictly for practice.  Data in Training Projects are exempt from all Corporate Management calculations and summaries.

Project Name

Enter a descriptive name of the Project.

Project Time Zone

Enter the Project site's time zone.

Address (line 1)

Enter the Project site's first line of address.

Address (line 2)

Enter the Project site's second line of address.

City

Enter the Project site's city.  Entering the city and state, or the zip code, will populate weather on the Project Summary and Daily Reports.

State / Province

Enter the Project site's state or province.  Entering the city and state, or the zip code, will populate weather on the Project Summary and Daily Reports.

Zip / Post Code

Enter the Project site's zip or post code.  Entering the city and state, or the zip code, will populate weather on the Project Summary and Daily Reports.

Country

Enter the Project site's country.

Office No

Enter the Project site's office telephone number.

Fax No

Enter the Project site's facsimile number.

Contract Sold By (Available after saving a project)

Select Employee for the project.

Architect (Available after saving a project)

Select the contact for the project.

Contractor (Available after saving a project)

Select the contact(s) for the project.

Engineer (Available after saving a project)

Select the contact for the project.

Estimator (Available after saving a project)

Select the Employee for the project.

Project Superintendent (Available after saving a project)

Select the contact for the project.

Project Manager (Available after saving a project)

Select the contact for the project.

Project Engineer (Available after saving a project)

Select the contact for the project.

Payroll Live

Check this box if the Project's timecard data is considered "live" and subject to batch timecard downloads (see Add Batch.)

Mileage & Cost Code

Enter the payment amount and accounting cost code for mileage accrued by the Employee.

Mileage Over Fed & Cost Code

Enter the payment amount to and accounting cost code for mileage (over Federal limit) accrued by the Employee.

Per Diem Pay & Cost Code

Enter the payment amount and accounting cost code to be made per diem accrued by the Employee.  This payment only comes into effect when the Employee has exceeded the Per Diem Pay Threshold as specified on Project Preferences.

Comments

Enter any comments about the Project.

Project Milestones

Enter milestone Estimated and Actual dates.  Notes are mandatory if the Estimated date is missed.  A Calendar item or Reminder may be set for each item.

Click the Save Data button to accept the entered data.

Select Project

Action

Displays various Action Icons that allow you to manage an existing Project.

Project No

Number of the Project.  Projects can be sorted by this column.

Status

Current status of the Project.

Project

Name of the Project.  Projects can be sorted by this column.

Manager

Project Manager of the Project.  Projects can be sorted by this column.

Hours Total

Estimated, Actual, and Remaining hours allocated to the project.

Documents

Number of documents entered on the project

Changes Since Last Login

A flag will appear next to projects have had document changes since the last time you have logged in.  The number represents the number of document changes.

Notes

  • Adding a new Project automatically creates a default System and a default Phase for this Project (see also Add System and Add Phase.)

 

Edit Project: 

Project No

Edit the code by which you identify the Project.

Training Project

Check this box if the Project is to be considered a strictly training Project.  Data in training Projects are exempt from all Corporate Management calculations and summaries.

Project Name

Edit the descriptive name of the Project.

Parent Market Area

Select the Market Area to which this Project belongs.

Project Time Zone

Edit the Project site's time zone.

Address (line 1)

Edit the Project site's first line of address.

Address (line 2)

Edit the Project site's second line of address.

City

Edit the Project site's city.

State / Province

Edit the Project site's state or province.

Zip / Post Code

Edit the Project site's zip or post code.

Office No

Edit the Project site's office telephone number.

Fax No

Edit the Project site's facsimile number.

Contract Sold By

Select the contact that sold the current Project's contract.

Architect

Select a contact as the current Project's architect.

Contractor

Select a contact as the current Project's contractor.

Superintendent

Select a contact as the current Project's superintendent.

Project Manager

Select a contact as the current Project's project manager.

Project Engineer

Select a contact as the current Project's project engineer.

Payroll Live

Check this box if the Project's timecard data is considered "live" and subject to batch timecard downloads (see Add Batch.)

Mileage Pay

Edit the payment amount to be made for mileage accrued by the Employee.

Mileage Over Fed Pay

Edit the payment amount to be made for mileage (over Federal limit) accrued by the Employee.

Comments

Edit the Project comments.

Click the Save Data button to accept the edited data and file the Project in your eSUB account.

  • After saving you will be returned to the Add Project page.
